SIB Genomics / Equipment purchasing

A platform-retirement checklist for genomics labs

Equipment, computers, data and service arrangements are separate parts of a platform transition. Recording them separately makes the proposed sale clearer.

Identify the exact generation

Use the instrument label and available installation records. Include the model suffix or variant where one exists. Do not infer a model generation from an informal laboratory nickname or from the appearance of a related instrument.

Separate hardware from accounts and services

List computers and installed software information without sharing credentials. Vendor accounts, cloud services, software rights and service contracts should not be assumed to transfer with the physical equipment. Record what needs confirmation.

Keep sequence and sample data private

An initial equipment enquiry needs hardware details, not sequence files, sample sheets or participant information. Involve your institution’s IT team in preparing any data-bearing component for transfer. Retain internal records according to your own procedures.

Plan around the last scheduled work

Tell us whether the instrument remains in use and give a realistic release window. List dependencies on replacement equipment. Identify who will coordinate technical shutdown, preparation and release once the commercial scope has been agreed.

A reusable equipment record

The CSV template opens in common spreadsheet applications. Keep one row per item and link related modules with a system reference. Leave genuinely unknown details marked as unknown.

This guide covers enquiry preparation. It is not a service, shutdown, decontamination or transport procedure. Follow your institution’s requirements and the relevant manufacturer instructions.
